Choosing who inspects your goods, and writing a brief they can fail

The big names and the small independents fail differently. What matters more than the logo is whether your checklist lets an inspector say no.

France → China

Third-party inspection is the cheapest insurance in importing and the most commonly wasted. Not because inspectors are bad, but because they are sent to look without being told what would count as a failure.

Large firm or independent

  • The large international firms bring a name your customer recognises, a report format their insurer accepts, accredited laboratories, and presence everywhere. They cost more, the inspector assigned may be junior, and you have little say in who turns up.
  • Independents and small local firms cost less, you can build a relationship with the individual doing the work, and they will often go further on a specific technical point. The report carries less weight with a third party, and quality depends heavily on the person.

The honest rule: use a large firm when the report has to convince someone who is not you — a customer, an insurer, a court. Use an independent when the report only has to convince you, and buy more frequent visits with the saving.

The brief is the whole job

An inspector with a generic checklist will report a generic result. The brief has to state, for your product: what is measured, with what instrument, on how many units, and what value constitutes a fail. If a line cannot produce a fail, it is decoration.

Send the approved golden sample to the inspector, not only to the factory. An inspector comparing production against a sample they hold in their hands finds things that no written specification catches.

Book the visit so that it can change something

A final inspection when the goods are packed and the vessel is booked gives you a report and a bad choice: ship defective goods or miss the season. Inspect during production, when perhaps forty per cent is complete — early enough that a fault can be corrected on the remaining units, late enough that the line is genuinely running.

Whoever inspects, do not let the factory choose them and do not let the factory pay them. An inspection arranged by the party being inspected is a courtesy visit with a letterhead.
